Managing Work Orders and Views
The Kanban view provides a comprehensive overview of the different stages of work orders (WOs). In this interface, you can intuitively see the status of work orders, such as "Open," "Pending Client Approval," "Ready to Close," "Closed," and "To Be Invoiced." Additionally, you have the option to filter WOs by date, allowing you to display only those relevant to specific periods. This functionality offers a clear and structured panorama of all ongoing work orders, facilitating efficient management and tracking of activities at each stage.
The calendar view displays work orders (WOs) organized by date, allowing you to see them in monthly, weekly, or agenda formats. This functionality provides a clearer and more organized perspective of scheduled activities for each time period. By using the calendar view, you can efficiently plan and coordinate maintenance tasks and related activities, ensuring optimal resource management and adherence to deadlines. The ability to view WOs in different formats lets you adjust the display according to your preferences and specific needs.
This view allows you to see work orders (WOs) by week and day, with the header showing the assigned responsible person for each WO. This view facilitates the organization and tracking of maintenance activities, clearly displaying scheduled tasks for each day of the week. By holding down on an WO and dragging it to a desired responsible person, you can easily reassign responsibilities. This functionality offers a flexible and efficient way to manage task assignments, optimizing planning and resource allocation for effective work order management.
This table view presents a list of work orders (WOs) where you can select the checkbox for each specific WO. By selecting multiple WOs, you can apply different actions to them collectively. One such action is rescheduling the previously set date for the selected WOs. This allows you to efficiently adjust the dates of multiple WOs simultaneously, simplifying maintenance management and task scheduling. With this table view and the option for multi-selection and actions, you can streamline workflows and facilitate the rescheduling and organization of work orders.
Another action available in the table view is the ability to assign a responsible person to WOs. If any WO lacks an assigned responsible person, you can use this option to assign the same person to a set of selected WOs. If a responsible person is already assigned to some of the selected WOs, the system allows you to change the assigned person when applying this configuration. This functionality provides a quick and easy way to manage task assignments for multiple WOs, enhancing the organization and distribution of work in asset maintenance. By assigning responsible persons in the table view, you improve the efficiency of work order management and ensure proper coordination of activities.
In the table view, you also have the option to cancel an WO individually or collectively by selecting the checkbox corresponding to the WO. This means you can cancel a specific WO by marking its checkbox, or select multiple WOs and cancel them all at once. This functionality simplifies the administration and organization of work orders, allowing for the rapid cancellation of those no longer needed or presenting issues. By being able to perform this action both individually and collectively, you optimize the cancellation process and ensure efficient management of WOs in the asset maintenance system.
Upon clicking to cancel an WO, the system displays a confirmation window with two available options. The first option is to cancel the WO along with all its activities. Selecting this option deletes both the WO and all its activities from the system, leaving no record in the database.
The second option is to cancel only the WO but retain its activities. Choosing this option returns the WO activities to the scheduled activities module. This way, the cancelled activities can be reassigned to a new WO later, preventing information loss and facilitating the reorganization of maintenance tasks. These options allow flexible management of work orders and their activities, providing the ability to cancel tasks selectively and adapting to specific needs.
